How to change color pages to black and white

Some word processors will generate lines (such as those found in tables) and/or text in a combination of red and green that will appear black on the screen, but will appear in color to the bindery that will print your document. Depending on how other items are created and/or inserted into your document, grey-scale figures may also appear in a combination of red and green.

This tutorial will show one way to convert color items in a PDF file to black and white. These instructions have been provided by the bindery that prints Michigan Tech dissertations, theses, and reports, but they are not foolproof. You may find that certain items do not properly convert to black and white. In that case, it is recommended to:

  • go back to the source image
  • change the source image to black and white or gray-scale using Photoshop
  • insert the image into your document
  • convert the PDF document (recommended setting: High Quality Print)

How to use the Edit Text Tool

Adobe Acrobat has a Edit Text & Images Tool for content editing. This tool can be used to do minor text edits, such as deleting a small amount of text, or fixing a spelling mistake.

Open your pdf file, and select Edit Text & Images by clicking on “Tools” and selecting it from the “Content Editing” section as shown in the screen shot below.  If you use the tool a lot, right click on the tool to “Add to Quick Tools” and it will appear on your toolbar.

New Guide for Dissertations, Theses, and Reports

The Graduate Student Government, Graduate Faculty Council, University Senate, and administration have approved the new “Guide to Completing a Graduate Degree and Preparing and Submitting a Dissertation, Thesis, or Report at Michigan Technological University.”

Because this Guide makes the submission process similar for all documents, and the formatting requirements are much simpler, the new requirements will be applied retroactively to all pending submissions and to all new submissions.

The web site has been updated to reflect changes for dissertations, theses, and reports.  Highlights are below:

New Deadlines

  • Deadlines to complete a degree have changed. The deadline to submit a final dissertation, thesis, or report to complete a degree in fall 2012 is December 17, 2012.
    • Students defending in fall 2012 may request an extension of this deadline in writing to Dr. Debra Charlesworth (dissertations or theses) or Ms. Nancy Byers Sprague (reports). Requests must be made prior to December 17, 2012.
    • There is no deadline to conduct a final oral examination (defense). Students are recommended to defend well in advance of the deadline to submit a final document to allow sufficient time to incorporate the technical changes required by their committee.

New Formatting Requirements

New Forms

New forms have been released, and only the new versions will be accepted.  A summary of the important changes is below:

  • Pre-defense form (this has been replaced with an online process and is no longer linked here. 3-17-21)
    • This form now only asks for the defense time & date along with committee information.
    • Students who have already submitted a Pre-defense form do not need to re-submit this form.
    • Beginning immediately, if an old Pre-defense form is submitted, the Publishing agreement that was in this form will be discarded.
  • Report on final oral examination form
    • New form for students completing a dissertation, thesis, or report.
    • Students who have already submitted a Verification of final degree requirements form do not need to submit this form.
    • Contains check-boxes for each member of the committee to provide examination results to the Graduate School.
  • Verification of final degree requirements form
    • This form will now only be required for coursework Master’s students and Master of Engineering students.
  • Approval of a final dissertation, thesis, or report [this form was replaced with a google form in summer 2021 and is no longer linked here]
    • New form for students completing a dissertation, thesis, or report.
    • Replaces the “signature page” in the dissertation, thesis, or report
    • Due before the final document is submitted to Canvas, but may not arrive earlier than one week before the final submission.
    • As the Graduate School works toward automating processes, this form will be replaced by an electronic approval process.
  • Degree completion form [this form no longer orders bound copies and is no longer linked here]
    • It updates the required number of bound copies for the Library (1 for dissertations, none for Master’s students)
    • Contains the Publishing agreement which was previously part of the Pre-defense form

How to check PDF conversion settings for images and embedding fonts

Creating high quality images and embedding all fonts are two requirements of creating a thesis or dissertation.  These two requirements will ensure that your document is presented at the highest quality and that the document appears the same on any computer, regardless of the fonts that are available.  This tutorial will show how to check and select the conversion settings in Word to make sure your document meets the requirements.

Submission and Formatting 101: Master the Dissertation, Thesis, and Report Process

Students who are completing a dissertation, thesis, or report are invited to join the Graduate School to learn about the resources available to them to assist in scheduling their defense, formatting their documents, and submitting their documents.  In one afternoon, you can learn everything you need to be successful and complete your degree in a timely fashion!  Faculty and staff who assist students with submissions are also welcome to attend.  Attend the entire event, or stop in for the seminar that interests you.

  • When: Wednesday, September 9, 2020, 2 – 4pm (see detailed schedule below)
  • Who: Students completing a dissertation, thesis or report; faculty and staff who assist students with submission
  • Where: Zoom webinar; (register to attend online and receive participation instructions)

If you are unable to join us, the event will be taped and available online after the event. The previous semester’s seminars are always available online.

  • 2 – 3pm – Submission 101
    Learn what is required to submit your document to the Graduate School and the deadlines for the upcoming semester.  Best for students who are completing their degree this semester or next semester.
  • 3 – 4pm – Formatting 101-103: Word, Acrobat and Copyright
    • Learn how to find what you need in the Guide and use a Word template to create a perfectly formatted document the first time. 
    • Learn how to use Adobe Acrobat to check your document to ensure it meets our formatting requirements and correct it without recreating the PDF.
    • Learn how to use copyrighted materials in your document, including papers you have published as well as materials created by someone else.
  • 4pm – ?: Final questions
    Have a question that hasn’t been answered yet? We’ll be available to answer any additional questions you have.

Checking Your Margins Using Single Side Formatting

Welcome back to the Michigan Tech Graduate School Newsblog. Since Thesis, Dissertation, and Report writing season is in full swing now we thought it might be helpful to give you a brief reminder on how you can check your margins before submitting your document to the Graduate School.

There are two ways described in “The Guide” to format your dissertation, thesis, or report: Single Side and Double Side formatting. In the post below we will walk you through how to use Adobe Acrobat Pro to check your margins in a Single Side formatted document.
